Selecting The Email

If you are running against an existing email, choose it from the form assistant on the right hand side.

If you are creating a new email inside the workflow, you will need to create an email record using "Create Record -> E-Mail" rather than "Send Email" as it will send the email message immediately before giving the chance to add more recipients. 

Adding Multiple Business Units, Teams, And/Or Security Roles

If you need to add more than one set of users to an email, set the "Send Email?" to False on each step until all parties have been added. The recipients added are cumulative between steps in addition to any that where specifically selected during the email creation. On the step where you have added the final group of users, set the "Send Email?" flag to True to send the email.

Users With No Email Addresses

These users are filtered out and not added to the email.

Send Email

A value of True will send the email.

Email Business Unit

Select the Business Unit from the lookup field, the users in this Business Unit will be added to the email's To field.

Setting "Include All Child Business Units? to True will recursively include all valid members of any child Business Units. A False value here will only include members of the selected Business Unit.

Users with an Access Mode of  Support User (3) or Non-interactive (4) will be excluded.

CC Business Unit

Same as Email Business Unit except users are added to the CC field.

Email Security Role

Enter the GUID of the Security Role, the users with this Security Role will be added to the email's To field.

To find the GUID of the Security Role open it in a new window and copy the value from the address bar.

The url would look like https://yourorg.crm.dynamics.com/biz/roles/edit.aspx?id={45FD9441-EF74-E411-80D6-B4B52F67B66A} - you will need the value 45FD9441-EF74-E411-80D6-B4B52F67B66A.

CC Security Role

Same as Email Security Role except users are added to the CC field.

Email Team

Select the Team from the lookup field, the users in this Team will be added to the email's To field.

CC Team

Same as Email Team except users are added to the CC field.

Delete Email Attachments

Delete >= Than X Bytes (Empty = 0) - Email attachments greater than or equal to the number (in bytes) specified here will be deleted.

Delete <= Than X Bytes (Empty = 2,147,483,647) -  Email attachments less than or equal to the number (in bytes) specified here will be deleted.

Limit To Extensions (Comma Delimited, Empty = Ignore) - The file extensions to delete in addition to the size parameters.

Add Delete Notice As Note? - A value of True adds a Note record to the email indicating any files that were deleted.

Example 1 - delete PDF files greater than or equal to 1 MB

Delete >= Than X Bytes (Empty = 0)  - 1,000, 000

Delete <= Than X Bytes (Empty = 2,147,483,647) - Leave Empty

Limit To Extensions (Comma Delimited, Empty = Ignore)  - pdf

Example 2 - delete all attachments less than of equal to 5 KB or greater than or equal to 2 MB

Delete >= Than X Bytes (Empty = 0)  - 2,000,000

Delete <= Than X Bytes (Empty = 2,147,483,647) - 5,000

Limit To Extensions (Comma Delimited, Empty = Ignore)  - Leave Empty

Remember to test this on single emails before running it against a large batch - all deletes are permanent!

Delete Email Attachments By Name

File Name With Extension - Enter the filename with extension (case insensitive) - all instances of the file attached to the email will be deleted.

Add Delete Notice As Note? - A value of True adds a Note record to the email indicating any files that were deleted.

Remember to test this on single emails before running it against a large batch - all deletes are permanent!

Send Draft Email

This will attempt to send an email in a Draft status.
